What Underwriting Actually Asks For
Conditional approval is normal. It is also where most delays are created, almost always by the same handful of things.
"Conditional approval" is not a soft no
It is the standard outcome. An underwriter reviewed the file, decided it works, and listed what has to be documented before funding. Almost every loan in the country goes through this stage.
The list is called conditions. Some are administrative — a signature, an updated statement. Some are substantive — proving where money came from, resolving something on title. Clearing them is the job between now and closing.
Why the requests feel repetitive
Because the underwriter is not asking you a question. They are building a file that a third party can audit years from now without ever talking to you.
That means: a bank statement showing the deposit is not the same as evidence of where the deposit came from. "It was from my dad" is not documentation; a gift letter and a paper trail is. "That is a business account" is not documentation; the entity paperwork is. The underwriter is not doubting you — they cannot put your word in the file.
Understanding this one thing cuts your frustration in half.
The five things that generate the most conditions
Deposits that are not payroll. Anything landing in your account that is not a recognizable, regular deposit will get asked about. Sold a car, got reimbursed, transferred from savings, cashed out a side job. Each one needs a source. This is why moving money around before closing creates work.
Gift funds handled wrong. There is a right sequence for this and doing it out of order creates a mess that takes weeks. Read the gift funds guide before the money moves, not after.
Self-employment income. More documents, more questions, more layers — because the underwriter has to establish that the income is stable and likely to continue, not just that it happened. If write-offs are the issue, that is a different conversation entirely.
Address and employment gaps. Any hole in the timeline gets asked about. A month between jobs is fine; an unexplained month is a condition.
Property-side items. Insurance binder, HOA or condo documents, survey, title exceptions, permits for anything that looks like unpermitted work. In Florida the insurance binder and the condo questionnaire are the two that most often become the long pole.
How to clear conditions fast
Send everything at once, complete, in the format requested. Partial responses generate follow-up conditions, and each round trip costs a day or two.
Specifically:
- Send all pages of a statement, including the blank last page. "Page 3 of 5" with pages 1, 2, 4 and 5 missing gets sent straight back.
- Send the original file, not a photo of a screen.
- Answer letters of explanation in plain language and be direct. Short and honest beats long and defensive every time.
- Do not answer a question you were not asked. Volunteering extra detail sometimes opens something new.
Conditions that appear at the end
A file gets a final refresh close to closing: credit, employment, sometimes assets. This is why the rule about not opening new credit is not paranoia — a new account that appears in that refresh can genuinely restructure the loan days before closing.
If something changed in your financial life since you applied, tell your loan officer before the refresh finds it. Every single time, it is easier to solve when there is time to solve it.
What "clear to close" means
Every condition is satisfied and the file is cleared for the closing documents to be prepared. It is the point where the date becomes real.
